Part of a comprehensive and defined personnel exit procedure (which includes e. g. the return of keys etc.) and an IT security policy must also be a defined procedure for decommissioning or deleting access data to IT facilities.
For TUGRAZonline (and downstream systems: access to the email server, to the Linux server, …) this procedure is described here, for servers at institutes (with accounts separate from TUGRAZonline) this has to apply analogously according to Rectorate Decision 036/2014 of 25.3.2014!
The termination procedure becomes active as soon as a person no longer has an employment relationship (DV/RV/WP), thereby applies:
Other functions of a person with the above-mentioned special function will not be terminated by the function termination precedure, except in case of expiration of the last employment (DV/RV/WP) of this person.
If the person has not been assigned any functions exempted by the function termination procedure, then this will deactivate the account.
Further information can be found in TU4U („Deaktivierung Ihres Accounts“ and „Ende des Dienstverhältnisses“).
If you have not registered to continue your studies for the current semester, the account will be deactivated after 2 warning emails and deleted 18 days later.
You can find more information in TU4U.
When one terminates paid membership in the Alumni Association, the email account (and any forwarding from the staff email address) will be deleted.
6 months after the last action in connect.tugraz.at an email will be sent to request a login in connect.tugraz.at.
If there is no reaction, a reminder will be sent after 14 days. If this reminder is also ignored and no login is carried out, the account will be deleted in connect.tugraz.at and connected systems.
A new application for an account is possible without a blocking period, but all access rights have to be reassigned.
